What we collect

• Account: your email address, username, profile picture, and bio.
• Your machines: the machines you add, their components and specifications.
• Their history: services and maintenance logs, events, problems and checks, tasks, parts installed and on hand, odometer and hour-meter readings, notes, and expenses.
• Files: photos, and the manuals, receipts, and shop invoices you upload.
• Usage: what you do in the app (for example, adding a record), and server logs, which include your email address and IP address.

How we use it

• To run EverMaintain: your garage, schedules, what is due, history, search, and the screens you open.
• To read what you upload or type: turning a manual into a service schedule, a receipt or shop invoice into records, and a quick note into a log.
• To answer ChatGPT or Claude when you connect EverMaintain there.
• To email you: the Sunday garage digest and occasional product news. Both are on by default. Turn either off in Edit profile, or use the unsubscribe link in a product news email.
• To keep the service working and secure, and to fix problems.

We do not sell your information or use it for advertising.

Who receives it

• ChatGPT and Claude, only if you connect EverMaintain there (see below).
• OpenAI, to search your history and to read manuals, receipts, invoices, and notes. We send the text of the records and files involved and your search. OpenAI handles it under its API data policy.
• Service providers that host the app and files, handle sign-in, send email, and store logs. They act only on our behalf.
• Anyone you share with: if you make a public portfolio or create a share link, anyone with the link can see what it shows.

How long we keep it

• While your account is open: until you delete it or delete your account. Nothing expires on its own.
• When you delete a record or machine: it is removed right away, with its photos and files.
• When you delete your account: everything is removed right away, including your sign-in. If removing a file or the sign-in fails, we retry every hour until it succeeds. Torque values you corrected in the shared torque catalog stay, so other owners keep the fix, but your name is no longer attached to them.
• Backups: deleted data can remain in database backups for up to 35 days, then it is overwritten.
• Server logs: kept up to 31 days.

Delete your account

Open Edit profile in the app and tap Delete account at the bottom. You confirm with your password. It is permanent. Details are in the Help article.

ChatGPT and Claude

If you connect EverMaintain in ChatGPT or Claude, it acts on the EverMaintain account you sign in with, and only with the permissions you approve. It can read your machines and their history, and record maintenance, readings, events, problems and checks, parts, and tasks when you ask. It cannot delete or edit existing records, add machines, or open photos.

EverMaintain does not receive your ChatGPT or Claude user id. What you say in those chats is handled under OpenAI’s or Anthropic’s own privacy policy. Disconnect EverMaintain in that app’s settings at any time. After that, it cannot read or change your garage until you connect again.
